Welcome to Best Friends Pet Services LLC. These Terms & Conditions (“Terms”) govern your use of our pet care services. By booking or using our services, you agree to these Terms in full. Please read them carefully.
1. Services Provided
Best Friends Pet Services LLC offers premium pet care including The Gold Standard Promenade (Private Walking), Boutique Wellness Visits (Drop-in Care), and The Distinguished Residency (Premium Overnights).
2. Booking, Payment, and Prerequisites
Private Consultation: A Private Consultation is a mandatory prerequisite for all new clients to ensure service alignment and safety.
Booking: All services must be booked via the Time To Pet portal.
Payment: Full payment is due at the time of booking to secure your placement on our boutique schedule.
2.1 Same-Day Booking Surcharge
Services requested with less than 24 hours' notice are subject to a mandatory surcharge to compensate for immediate scheduling adjustments. The surcharge is +$10.00 per booking request for The Gold Standard Promenade and Boutique Wellness Visits, and +$50.00 per booking request for The Distinguished Residency.
2.2 Extended Service Zone (Travel) Surcharge
A travel surcharge is applied to locations outside our primary 5-mile service zone. For The Gold Standard Promenade and Boutique Wellness Visits, this fee is applied once per day. For The Distinguished Residency, this fee is applied once per booking.
5.1 – 8 Miles: +$10
8.1 – 12 Miles: +$15
12.1 – 15 Miles: +$20
Requests beyond 15 miles are Custom Quoted.
2.3 After-Hours Wellness Surcharge
To ensure professional availability for late-evening tuck-in services, a +$10.00 surcharge applies to any Boutique Wellness Visit scheduled between 8:00 PM and 10:00 PM. This premium compensates for professional availability during non-standard business hours.
3. Service Standards, Time Management, and Reporting
3.1 Accountability & Reporting Protocol
Every assignment is documented via the Time To Pet portal. Clients will receive one Standard Daily Service Report per day of service. To ensure our primary focus remains the dedicated care and security of your companions, photo updates are provided as a professional courtesy at the provider's discretion and are not a guaranteed component of the Service Report.
3.2 Standard Residency Care Provider Absence
The Distinguished Residency is defined as a 24-hour service cycle. This service explicitly includes the provider’s right to manage business demands and personal time, with a maximum absence of 3 continuous hours during the 24-hour cycle. The client agrees that the provider maintains professional control over their time during this break.
3.3 Exclusive Care Policy
The Exclusive 24-hour Constant Care tier is mandatory for any booking requiring uninterrupted presence or zero breaks for the provider. This tier is billed at a base rate of $350 per 24 hours for up to two (2) companions. Each additional companion (up to the 5-pet limit) is subject to a +$25.00 surcharge per 24-hour cycle. Standard holiday and travel surcharges apply.
3.4 Extended Stay / Late Checkout Policy
A single night's charge covers the initial 24-hour period. If care is required beyond this mark, the following fees apply, based on the applicable Residency Tier Rate for the service being provided (Solo $125 / Duo $150 / Family $175 / Constant Care $350):
0–2 Hours: Grace Period.
2–8 Additional Hours: 50% of the Tier Rate.
8+ Additional Hours: 100% of the Tier Rate.
4. Cancellations and Professional Boundaries
4.1 Promenades & Wellness Visits
A minimum of 24 hours' notice is required for a full refund. Cancellations made with less than 24 hours' notice are non-refundable, and the full service rate will be applied to compensate for the reserved time on our professional schedule.
4.2 The Distinguished Residency (All Tiers)
Due to the exclusive nature of these placements—including Standard and Constant Care tiers—refunds for cancellations are calculated based on the full service total and are tiered as follows:
8+ Days Notice: 100% Refund.
4–7 Days Notice: 50% Refund.
3 Days or Less: 0% Refund (Includes late-notice modifications, no-shows, or lockouts).
4.3 Holidays
Holiday surcharges are non-refundable if the required notice period for the base service is not met.
5. Client Obligations and Mandatory Disclosure
Client agrees to the following requirements, which are mandatory for service confirmation:
Vaccination Protocol: To maintain the highest standard of safety and legal compliance, verifiable proof of current Rabies vaccination is a mandatory prerequisite for all service requests involving dogs and cats. Records must be uploaded to the portal for verification prior to the Private Consultation and maintained thereafter. It is the Client’s responsibility to ensure records remain current within the portal for the duration of the professional relationship.
Health & Mobility Disclosure: Client must disclose all chronic conditions, allergies, and physical limitations (e.g., arthritis, heart conditions, or dietary sensitivities). This transparency allows us to tailor our "Gold Standard" approach to your companion’s specific comfort and safety needs.
Behavioral History: Client must fully disclose any history of biting, aggression, or intense reactivity. Failure to disclose behavioral risks constitutes a material breach and results in immediate termination of service without refund.
6. Pet Limit and Safety
Best Friends Pet Services LLC adheres to a strict limit of 5 domestic animals per concurrent service. This policy is non-negotiable and based on professional safety standards and insurance liability. Services requested for 6 or more pets must be finalized via a customized stewardship quote and are subject to specialized safety protocols and supplemental staffing requirements.
7. Pet Health And Safety
We will provide reasonable care for your pet(s), but inherent risks exist. You agree to hold Best Friends Pet Services LLC harmless for incidents except in cases of gross negligence. The Client is solely responsible for disclosing all known health conditions, past injuries, and current medical diagnoses prior to booking service. Veterinary care may be sought at your expense in emergencies.
8. Liability
We are not liable for damages caused by your pet(s) or third-party actions unless due to our gross negligence. We are not responsible for property damage resulting from your pet’s behavior. The Company is not liable for damages or losses resulting from key/lockbox malfunction, failure of electronic access devices, or related access issues provided by the client, unless due to the Company's Gross Negligence or Willful Misconduct.
9. Access, Stewardship, And Surveillance
Our Commitment to Discretion: We treat your home with the highest level of stewardship.
Surveillance Disclosure: Clients must disclose all active monitoring devices (smart doorbells, internal/external cameras).
Provider Privacy: No recording devices are permitted in private areas (bathrooms/bedrooms). Captured footage of Care Providers is for private security only and may not be published or shared without express written consent.
9.1 Access & Security Protocol
Functional entry methods (keys, fobs, or gate codes) must be provided and tested during the Private Consultation. To ensure uninterrupted care, clients are required to re-verify the functionality of all access methods 24 hours prior to the commencement of any scheduled service. In the event of an access failure, any time spent resolving entry will be billed at our standard professional rate.
10. Privacy
We handle your personal information according to our Privacy Policy. This includes details regarding the handling and non-collection of data from client-owned surveillance devices. The specific rules governing provider privacy and device placement are outlined in Section 9. Access, Stewardship, and Surveillance of this document.
11. Modifications to Terms
We reserve the right to update these Terms. Changes will be posted on our website with a new effective date. Continued use of services after updates constitutes acceptance.
12. Governing Law
These Terms are governed by the laws of the State of California.
